Credits and coupons
Redeem coupon codes, see how credits are applied to your invoices, follow each grant's balance and history, and add funds to a credit grant.
Credits reduce what you pay on your invoices. You receive credit by redeeming a coupon code, or when the platform grants a credit to your organization. Credits belong to a subscription and are applied automatically when an invoice is issued.
Before you begin
- To view credits, you need any role with Read access to Billing & Cost, granted on the subscription.
- To redeem a coupon or add funds to a grant, you need the Owner or Billing Operator role, or a custom role with Manage access to Billing & Cost, granted on the subscription.
How credits work
Each credit is a grant with an amount, a currency, and an expiry date.
- Applied at invoicing. When an invoice is issued, your active credits are applied to its total, including tax. The grant that expires first is used first. The invoice shows the amount under Credits applied.
- Same currency only. A credit is applied only to invoices in its own currency.
- Until it expires. A credit that's left on a grant after its expiry date isn't applied anymore.
| Status | What it means |
|---|---|
| Active | The grant has credit left and hasn't expired. |
| Exhausted | The grant has been used up. |
| Expired | The expiry date has passed. |
Under each grant's name, the list shows where it came from: Coupon code for a coupon you redeemed, or Support credit for a credit that the platform granted to your organization.
Redeem a coupon
In the console, go to BillingCredits & Coupons.
Under Redeem a coupon, enter the code in Coupon code.
Select Redeem.
The credit is added to the subscription you're working in, and appears under Credit grants.
- A coupon works once. After you redeem it, it belongs to that subscription, and it can't be redeemed again.
- It works only in your organization. A coupon code is issued for one organization.
- Match the currency. A coupon is issued in a currency, and its credit applies only to invoices in that currency. If your subscriptions use different currencies, redeem the coupon in a subscription that's billed in the coupon's currency.
If the code is unknown, already redeemed, or expired, the console shows an error, and no credit is added.
Follow your credits
On BillingCredits & Coupons:
- Credit grants lists each grant with what was granted, consumed, and remaining, its status, and its expiry date.
- Consumption history lists each time a credit was used: when, from which grant, what it was applied to, the amount, and the balance after.
- Export, on a grant's row, downloads the grant's history as a CSV file: the initial grant, and every top-up and use.
Add funds to a credit grant
You can add funds to a grant that hasn't expired. Like invoices, the top-up is paid by bank transfer, and the credit is available only after the finance team confirms the transfer.
On BillingCredits & Coupons, select Top up on the grant's row.
Enter the amount, and select Top up. The console records a payment with the status Pending approval.
Go to BillingTransactions, open the payment, and copy the Payment reference.
Transfer the amount to the account on BillingPayment methods, with the payment reference as the transfer description.
When the transfer is confirmed, the amount is added to the grant, and the payment changes to Completed. Until then, the grant's balance doesn't change. To withdraw a top-up that you haven't paid, cancel the pending payment. See Cancel a pending transfer.
