Invoices and payments

Read your monthly invoices, download them as PDF or CSV, and pay them by bank transfer with the payment reference that the console gives you.

Each subscription gets at most one invoice for each calendar month, issued after the month ends. You pay it by bank transfer, quoting the payment reference that the console gives you, and the invoice is marked paid once the finance team confirms that your transfer has arrived.

Before you begin

  • To view invoices, transactions, and payment details, you need any role with Read access to Billing & Cost, granted on the subscription.
  • To mark an invoice as paid or to cancel a pending transfer, you need the Owner or Billing Operator role, or a custom role with Manage access to Billing & Cost, granted on the subscription.

A role granted only on a project isn't enough, because invoices belong to the whole subscription.

How invoicing works

  • Billing period. An invoice covers one calendar month, in UTC. It's issued after the month has ended, when the platform operator closes the month's billing period.
  • Due date. The invoice is due 14 days after it's issued.
  • Currency. The invoice is in the subscription's currency. See Subscriptions and currency.
  • Nothing to pay. If nothing is owed for a month, because nothing was used or credits covered it all, the invoice is still issued, as Paid.
StatusWhat it means
UnpaidThe invoice is issued and not paid yet.
OverdueThe due date has passed, and the invoice isn't paid.
PaidThe payment was confirmed, or nothing was owed.
CancelledThe invoice was canceled. There's nothing to pay, and there's no PDF.

View your invoices

In the console, go to BillingInvoices.

Optional: filter the list by status, or search by invoice number or description.

Select an invoice to open it.

Above the list, Outstanding shows the total of your unpaid and overdue invoices, and Paid to date the total of the paid ones. Until the first month closes, the list is empty.

An invoice has four tabs:

TabWhat it shows
OverviewThe subtotal, the tax, and the total; the charges by service; the issuing entity; and the billing details, such as the payment terms and the credits applied.
DocumentThe invoice as a document, ready to print.
Line itemsEvery line item, with its quantity, unit, unit price, and amount.
TimelineThe invoice's events, such as when it was issued and paid.

What an invoice contains

The invoice adds up the month's usage of every project in the subscription:

  • Line items. Usage is grouped into one line per service and item, with the total quantity and amount. An item that has no price in your region shows Free.
  • Subtotal. The sum of the line items.
  • Tax. Calculated on the full subtotal, before any credits, at the rate for your billing country. The invoice shows the tax's name and rate.
  • Credits applied. Your available credits in the invoice's currency are applied to the subtotal plus tax, up to that amount. See Credits and coupons.
  • Total. The subtotal plus tax, minus the credits applied: the amount due.

If the subscription has a commitment, the invoice can also have a line for the committed spend that your usage didn't use in the month. See Savings Plans and Reserved Instances.

The invoice also states the entity that issued it, under Issued by, and your organization's billing details as they were when the invoice was issued. A later change to these details doesn't change invoices that are already issued.

Download an invoice

Open the invoice, and select one of these:

  • Download PDF saves the invoice as a PDF document. A canceled invoice has no PDF.
  • Export CSV saves the line items and the totals as a CSV file, also for a canceled invoice. Amounts in the file are in the currency unit, with four decimal places.
  • Print, on the Document tab, prints the invoice.

You can also download an invoice from the list: select PDF on its row.

Pay an invoice

You can't pay by card, and the platform doesn't charge anything automatically. You pay each invoice by bank transfer:

In the console, go to BillingInvoices, and open the invoice. It must be Unpaid or Overdue.

Select Mark as paid, check the amount, and confirm. The console records a payment with the status Pending approval. The invoice stays unpaid for now.

Go to BillingTransactions, and open the new payment.

Under How to pay, copy the Payment reference.

Go to BillingPayment methods. Under Bank transfer, find the account to transfer to.

In your bank, transfer the invoice total to that account. Enter the payment reference exactly as the transfer description.

When the finance team has matched your transfer, the payment changes to Completed, and the invoice to Paid.

If the payment instead changes to Failed, it wasn't confirmed, and the invoice stays unpaid. Check the reason on the payment's page, and select Mark as paid on the invoice again to record a new payment.

Where to transfer

The Payment methods page shows the bank account of the entity that issues your invoices: Beneficiary, Bank, IBAN or Account number, SWIFT / BIC, and Bank address. Only the fields that are filled in are shown.

If the page shows Bank account not published yet, no account is published for your organization yet. Select Contact Support to ask for the account details before you send a transfer.

Cancel a pending transfer

If you recorded a payment by mistake, cancel it before the finance team confirms it:

Go to BillingTransactions, and open the payment. Its status must be Pending approval.

Select Cancel transfer, and confirm.

The payment changes to Failed, and the invoice stays unpaid. You can't cancel a charge, or a payment that's already confirmed.

Transactions

BillingTransactions lists the money movements of the subscription:

  • Charge: an amount you owe, such as an issued invoice or the upfront payment of a commitment.
  • Payment: a payment you recorded, for an invoice or a credit top-up.

Filter the list with Payments, Charges, or Pending approval. Open a transaction to see its reference, its method, and the invoice it belongs to.

Use the API

You can work with invoices through the REST API:

In API responses, amounts are integers in ten-thousandths of the currency unit, not cents. See Amounts.
